the\u00a0<\/span><span data-contrast=\"none\">challenges of<\/span><span data-contrast=\"none\">\u00a0<\/span><span data-contrast=\"none\">juggling<\/span><span data-contrast=\"none\">\u00a0<\/span><span data-contrast=\"none\">work<\/span><span data-contrast=\"none\">\u00a0and\u00a0<\/span><span data-contrast=\"none\">life<\/span><span data-contrast=\"none\">;<\/span><span data-contrast=\"none\">\u00a0<\/span><span data-contrast=\"none\">and\u00a0<\/span><span data-contrast=\"none\">workdays<\/span><span data-contrast=\"none\">\u00a0that\u00a0<\/span><span data-contrast=\"none\">are<\/span><span data-contrast=\"none\">\u00a0less predictable<\/span><span data-contrast=\"none\">.<\/span><span data-ccp-props=\"{\"201341983\":0,\"335559739\":160,\"335559740\":259}\">\u00a0<\/span><\/p>\n<p><span data-contrast=\"none\">Unfortunately, m<\/span><span data-contrast=\"none\">any<\/span><span data-contrast=\"none\">\u00a0reliable<\/span><span data-contrast=\"none\">\u00a0<\/span><span data-contrast=\"none\">workflow<\/span><span data-contrast=\"none\">s<\/span><span data-contrast=\"none\">\u00a0and\u00a0<\/span><span data-contrast=\"none\">communication channels<\/span><span data-contrast=\"none\">\u00a0<\/span><span data-contrast=\"none\">also\u00a0<\/span><span data-contrast=\"none\">changed\u00a0<\/span><span data-contrast=\"none\">during<\/span><span data-contrast=\"none\">\u00a0<\/span><span data-contrast=\"none\">this<\/span><span data-contrast=\"none\">\u00a0swift<\/span><span data-contrast=\"none\">\u00a0to<\/span><span data-contrast=\"none\">\u00a0digital transition<\/span><span data-contrast=\"none\">\u2014o<\/span><span data-contrast=\"none\">ne\u00a0<\/span><span data-contrast=\"none\">being<\/span><span data-contrast=\"none\">\u00a0how employees\u00a0<\/span><span data-contrast=\"none\">manage<\/span><span data-contrast=\"none\">\u00a0their<\/span><span data-contrast=\"none\">\u00a0<\/span><span data-contrast=\"none\">in-progress<\/span><span data-contrast=\"none\">\u00a0work<\/span><span data-contrast=\"none\">.<\/span><span data-ccp-props=\"{\"201341983\":0,\"335559739\":160,\"335559740\":259}\">\u00a0<\/span><\/p>\n<p><span data-contrast=\"none\">As<\/span><span data-contrast=\"none\">\u00a0part of the XC\u00a0<\/span><span data-contrast=\"none\">Planning and R<\/span><span data-contrast=\"none\">esearch<\/span><span data-contrast=\"none\">\u00a0team,\u00a0<\/span><span data-contrast=\"none\">we\u2019ve<\/span><span data-contrast=\"none\">\u00a0conducted\u00a0<\/span><span data-contrast=\"none\">unmoderated user\u00a0<\/span><span data-contrast=\"none\">sessions\u00a0<\/span><span data-contrast=\"none\">and held workshops to help us understand the tools that employees are using to organize and\u00a0<\/span><span data-contrast=\"none\">act\u00a0<\/span><span data-contrast=\"none\">on<\/span><span data-contrast=\"none\">\u00a0their<\/span><span data-contrast=\"none\">\u00a0work. The findings will help\u00a0<\/span><span data-contrast=\"none\">us build<\/span><span data-contrast=\"none\">\u00a0<\/span><span data-contrast=\"none\">tools<\/span><span data-contrast=\"none\">\u00a0which put people in control of their\u00a0<\/span><span data-contrast=\"none\">work.<\/span><span data-ccp-props=\"{\"201341983\":0,\"335559739\":160,\"335559740\":259}\">\u00a0<\/span><\/p>\n<p><i><span data-contrast=\"none\">What is \u201cin<\/span><\/i><i><span data-contrast=\"none\">&#8211;<\/span><\/i><i><span data-contrast=\"none\">progress\u201d work?<\/span><\/i><span data-contrast=\"none\">\u00a0<\/span><span data-ccp-props=\"{\"201341983\":0,\"335559739\":160,\"335559740\":259}\">\u00a0<\/span><\/p>\n<p><span data-contrast=\"none\">\u201cIn<\/span><span data-contrast=\"none\">&#8211;<\/span><span data-contrast=\"none\">progress\u201d work varies by employee and organization, but many tasks\u00a0<\/span><span data-contrast=\"none\">are<\/span><span data-contrast=\"none\">\u00a0universal. They include things like composing\u00a0an email, reviewing documents, making a list, or scheduling a meeting.\u00a0<\/span><span data-contrast=\"none\">All<\/span><span data-contrast=\"none\">\u00a0these responsibilities are folded into an employee\u2019s daily \u201cto-dos\u201d and help them remain connected to larger team goals and productivity.\u00a0<\/span><span data-ccp-props=\"{\"201341983\":0,\"335559739\":160,\"335559740\":259}\">\u00a0<\/span><\/p>\n<p><span data-contrast=\"none\">However, the scope of in<\/span><span data-contrast=\"none\">&#8211;<\/span><span data-contrast=\"none\">progress work\u00a0<\/span><span data-contrast=\"none\">doesn\u2019t<\/span><span data-contrast=\"none\">\u00a0end with micro-tasks. Larger projects are also included in this category. Things like conducting extensive research, writing applications or essays, regularly updating a website, or developing internal plans for the company or team, which all take on more time and resources, are also viewed as in<\/span><span data-contrast=\"none\">&#8211;<\/span><span data-contrast=\"none\">progress work.<\/span><span data-ccp-props=\"{\"201341983\":0,\"335559739\":160,\"335559740\":259}\">\u00a0<\/span><\/p>\n<p><span data-contrast=\"none\">Most employees see this work as individualized duties, though sometimes they share or delegate it to others. Once identified, tasks are usually ranked according to their urgency or deadline, visibility or\u00a0<\/span><span data-contrast=\"none\">impact<\/span><span data-contrast=\"none\">\u00a0opportunity, and the time they have available. This \u2018altitude\u2019 is something that can change or\u00a0<\/span><span data-contrast=\"none\">shift, when<\/span><span data-contrast=\"none\">\u00a0various factors are considered.\u00a0<\/span><span data-ccp-props=\"{\"201341983\":0,\"335559739\":160,\"335559740\":259}\">\u00a0<\/span><\/p>\n<p><i><span data-contrast=\"none\">How\u00a0<\/span><\/i><i><span data-contrast=\"none\">it\u2019s<\/span><\/i><i><span data-contrast=\"none\">\u00a0generated<\/span><\/i><span data-ccp-props=\"{\"201341983\":0,\"335559739\":160,\"335559740\":259}\">\u00a0<\/span><\/p>\n<p><span data-contrast=\"none\">Before COVID-19, co-workers would often discuss\u00a0<\/span><span data-contrast=\"none\">and organize\u00a0<\/span><span data-contrast=\"none\">their<\/span><span data-contrast=\"none\">\u00a0<\/span><span data-contrast=\"none\">on-going \u201cto do\u201d lists<\/span><span data-contrast=\"none\">\u00a0<\/span><span data-contrast=\"none\">with\u00a0<\/span><span data-contrast=\"none\">one<\/span><span data-contrast=\"none\">\u00a0<\/span><span data-contrast=\"none\">an<\/span><span data-contrast=\"none\">other. Often this would happen\u00a0<\/span><span data-contrast=\"none\">during\u00a0<\/span><span data-contrast=\"none\">the\u00a0<\/span><span data-contrast=\"none\">informal chat<\/span><span data-contrast=\"none\">s<\/span><span data-contrast=\"none\">\u2014<\/span><span data-contrast=\"none\">causal\u00a0<\/span><span data-contrast=\"none\">conversation<\/span><span data-contrast=\"none\">s<\/span><span data-contrast=\"none\">\u00a0<\/span><span data-contrast=\"none\">around\u00a0<\/span><span data-contrast=\"none\">someone\u2019s<\/span><span data-contrast=\"none\">\u00a0desk or in a hallway.\u00a0<\/span><span data-contrast=\"none\">These brief, transitional moments served as\u00a0<\/span><span data-contrast=\"none\">important channels to daily productivity as<\/span><span data-contrast=\"none\">\u00a0<\/span><span data-contrast=\"none\">employees\u00a0<\/span><span data-contrast=\"none\">would download information to one other and communicate what needed to get accomplished.\u00a0<\/span><span data-contrast=\"none\">L<\/span><span data-contrast=\"none\">ists were generated, notes were taken,<\/span><span data-contrast=\"none\">\u00a0and<\/span><span data-contrast=\"none\">\u00a0<\/span><span data-contrast=\"none\">deadlines<\/span><span data-contrast=\"none\">\u00a0were\u00a0<\/span><span data-contrast=\"none\">assigned<\/span><span data-contrast=\"none\">.<\/span><span data-contrast=\"none\">\u00a0<\/span><span data-contrast=\"none\">A sense of control was created, established.<\/span><span data-ccp-props=\"{\"201341983\":0,\"335559739\":160,\"335559740\":259}\">\u00a0<\/span><\/p>\n<p><span data-contrast=\"none\">We\u2019ve<\/span><span data-contrast=\"none\">\u00a0learned that<\/span><span data-contrast=\"none\">\u00a0these conversations are hard<\/span><span data-contrast=\"none\">, if not impossible,<\/span><span data-contrast=\"none\">\u00a0to replace in\u00a0<\/span><span data-contrast=\"none\">the virtual<\/span><span data-contrast=\"none\">\u00a0space. (Something\u00a0<\/span><span data-contrast=\"none\">we\u2019ve<\/span><span data-contrast=\"none\">\u00a0written about here, in\u00a0<\/span><a href=\"https:\/\/newed.any0.dpdns.org\/en-us\/research\/group\/customer-insights-research\/articles\/the-impact-of-covid-19-on-information-workers\/\"><span data-contrast=\"none\">this article<\/span><\/a><span data-contrast=\"none\">)<\/span><span data-contrast=\"none\">.<\/span><span data-contrast=\"none\">\u00a0<\/span><span data-contrast=\"none\">However,<\/span><span data-contrast=\"none\">\u00a0<\/span><span data-contrast=\"none\">whether someone is working virtually or from an office, in-progress work is something employees\u00a0<\/span><span data-contrast=\"none\">still\u00a0<\/span><span data-contrast=\"none\">do,\u00a0<\/span><span data-contrast=\"none\">every day<\/span><span data-contrast=\"none\">.<\/span><span data-contrast=\"none\">\u00a0<\/span><span data-ccp-props=\"{\"201341983\":0,\"335559739\":160,\"335559740\":259}\">\u00a0<\/span><\/p>\n<p><i><span data-contrast=\"none\">The tools:\u00a0<\/span><\/i><i><span data-contrast=\"none\">One size does not fit\u00a0all<\/span><\/i><i><span data-contrast=\"none\">\u00a0<\/span><\/i><span data-ccp-props=\"{\"201341983\":0,\"335559739\":160,\"335559740\":259}\">\u00a0<\/span><\/p>\n<p><span data-contrast=\"none\">Digital or tactile, t<\/span><span data-contrast=\"none\">here are many\u00a0<\/span><span data-contrast=\"none\">tools<\/span><span data-contrast=\"none\">\u00a0<\/span><span data-contrast=\"none\">people<\/span><span data-contrast=\"none\">\u00a0use to<\/span><span data-contrast=\"none\">\u00a0keep track of what\u00a0<\/span><span data-contrast=\"none\">they\u2019re<\/span><span data-contrast=\"none\">\u00a0working on<\/span><span data-contrast=\"none\">.\u00a0<\/span><span data-contrast=\"none\">Tools<\/span><span data-contrast=\"none\">\u00a0range from freeform lists on sticky notes<\/span><span data-contrast=\"none\">\u00a0or pieces of paper<\/span><span data-contrast=\"none\">\u00a0to structured digital\u00a0<\/span><span data-contrast=\"none\">organizers<\/span><span data-contrast=\"none\">\u00a0like\u00a0<\/span><a href=\"https:\/\/newed.any0.dpdns.org\/en-us\/microsoft-365\/business\/task-management-software\"><span data-contrast=\"none\">Microsoft\u00a0<\/span><span data-contrast=\"none\">Planner<\/span><\/a><span data-contrast=\"none\">.\u00a0<\/span><span data-contrast=\"none\">Our research showed that\u00a0<\/span><span data-contrast=\"none\">employees<\/span><span data-contrast=\"none\">\u00a0<\/span><span data-contrast=\"none\">\u00a0use<\/span><span data-contrast=\"none\">\u00a0<\/span><span data-contrast=\"none\">a combination<\/span><span data-contrast=\"none\">\u00a0<\/span><span data-contrast=\"none\">tools<\/span><span data-contrast=\"none\">,\u00a0<\/span><span data-contrast=\"none\">depending on<\/span><span data-contrast=\"none\">\u00a0their<\/span><span data-contrast=\"none\">\u00a0<\/span><span data-contrast=\"none\">needs for\u00a0<\/span><span data-contrast=\"none\">speed<\/span><span data-contrast=\"none\">\/<\/span><span data-contrast=\"none\">simplicity<\/span><span data-contrast=\"none\">,<\/span><span data-contrast=\"none\">\u00a0structure\/<\/span><span data-contrast=\"none\">collaboration and\u00a0<\/span><span data-contrast=\"none\">influenced by the\u00a0<\/span><span data-contrast=\"none\">tools\u00a0<\/span><span data-contrast=\"none\">available to them.<\/span><span data-contrast=\"none\">\u00a0<\/span><span data-ccp-props=\"{\"201341983\":0,\"335559739\":160,\"335559740\":259}\">\u00a0<\/span><\/p>\n<p><span data-contrast=\"none\">There\u2019s<\/span><span data-contrast=\"none\">\u00a0also the consideration of\u00a0<\/span><span data-contrast=\"none\">additional<\/span><span data-contrast=\"none\">\u00a0<\/span><span data-contrast=\"none\">bells and whistles<\/span><span data-contrast=\"none\">, or\u00a0none at all,<\/span><span data-contrast=\"none\">\u00a0<\/span><span data-contrast=\"none\">that\u00a0<\/span><span data-contrast=\"none\">help\u00a0<\/span><span data-contrast=\"none\">decide which tool to use<\/span><span data-contrast=\"none\">.<\/span><span data-contrast=\"none\">\u00a0For instance, s<\/span><span data-contrast=\"none\">ome\u00a0<\/span><span data-contrast=\"none\">employees\u00a0<\/span><span data-contrast=\"none\">prefer<\/span><span data-contrast=\"none\">\u00a0blank canvas<\/span><span data-contrast=\"none\">es (like<\/span><span data-contrast=\"none\">\u00a0a<\/span><span data-contrast=\"none\">\u00a0Microsoft Word document or a notebook)<\/span><span data-contrast=\"none\">\u00a0where they can\u00a0<\/span><span data-contrast=\"none\">write down, then cross off<\/span><span data-contrast=\"none\">,<\/span><span data-contrast=\"none\">\u00a0an<\/span><span data-contrast=\"none\">\u00a0<\/span><span data-contrast=\"none\">it<\/span><span data-contrast=\"none\">em<\/span><span data-contrast=\"none\">\u00a0on their own<\/span><span data-contrast=\"none\">. O<\/span><span data-contrast=\"none\">thers\u00a0<\/span><span data-contrast=\"none\">report\u00a0<\/span><span data-contrast=\"none\">the benefits of deploying<\/span><span data-contrast=\"none\">\u00a0<\/span><span data-contrast=\"none\">notifications and reminders\u00a0<\/span><span data-contrast=\"none\">of<\/span><span data-contrast=\"none\">\u00a0certain\u00a0tool<\/span><span data-contrast=\"none\">; these\u00a0<\/span><span data-contrast=\"none\">may<\/span><span data-contrast=\"none\">\u00a0help them return to<\/span><span data-contrast=\"none\">\u00a0work\u00a0<\/span><span data-contrast=\"none\">or notify<\/span><span data-contrast=\"none\">\u00a0a<\/span><span data-contrast=\"none\">\u00a0co-worker<\/span><span data-contrast=\"none\">\u00a0when\u00a0<\/span><span data-contrast=\"none\">they<\/span><span data-contrast=\"none\">\u2019re<\/span><span data-contrast=\"none\">\u00a0<\/span><span data-contrast=\"none\">finished<\/span><span data-contrast=\"none\">.\u00a0<\/span><span data-ccp-props=\"{\"201341983\":0,\"335559739\":160,\"335559740\":259}\">\u00a0<\/span><\/p>\n<p><span data-contrast=\"none\">Digital c<\/span><span data-contrast=\"none\">alendars and spreadsheets\u00a0<\/span><span data-contrast=\"none\">were<\/span><span data-contrast=\"none\">\u00a0also<\/span><span data-contrast=\"none\">\u00a0<\/span><span data-contrast=\"none\">named<\/span><span data-contrast=\"none\">\u00a0as\u00a0<\/span><span data-contrast=\"none\">tools people use<\/span><span data-contrast=\"none\">\u00a0to\u00a0<\/span><span data-contrast=\"none\">stay on top of various tasks.<\/span><span data-contrast=\"none\">\u00a0<\/span><span data-ccp-props=\"{\"201341983\":0,\"335559739\":160,\"335559740\":259}\">\u00a0<\/span><\/p>\n<p><i><span data-contrast=\"none\">Several key factors<\/span><\/i><span data-ccp-props=\"{\"201341983\":0,\"335559739\":160,\"335559740\":259}\">\u00a0<\/span><\/p>\n<p><span data-contrast=\"none\">As we continue to iterate in this space,\u00a0<\/span><span data-contrast=\"none\">there are\u00a0<\/span><span data-contrast=\"none\">several<\/span><span data-contrast=\"none\">\u00a0<\/span><span data-contrast=\"none\">key\u00a0<\/span><span data-contrast=\"none\">factors\u00a0<\/span><span data-contrast=\"none\">that<\/span><span data-contrast=\"none\">\u00a0users have come to expect<\/span><span data-contrast=\"none\">\u00a0from their in-progress work:<\/span><span data-ccp-props=\"{\"201341983\":0,\"335559739\":160,\"335559740\":259}\">\u00a0<\/span><\/p>\n<ul>\n<li data-leveltext=\"\uf0b7\" data-font=\"Symbol\" data-listid=\"2\" data-aria-posinset=\"1\" data-aria-level=\"1\"><span data-contrast=\"none\">Tools<\/span><span data-contrast=\"none\"> that are easy to manage and simple to understand<\/span><\/li>\n<li data-leveltext=\"\uf0b7\" data-font=\"Symbol\" data-listid=\"2\" data-aria-posinset=\"2\" data-aria-level=\"1\"><span data-contrast=\"none\">A<\/span><span data-contrast=\"none\">ctions that allow them to modify the task like add new items or notes, and mark when complete<\/span><\/li>\n<li data-leveltext=\"\uf0b7\" data-font=\"Symbol\" data-listid=\"2\" data-aria-posinset=\"2\" data-aria-level=\"1\"><span data-contrast=\"none\">Accessible from\u00a0<\/span><span data-contrast=\"none\">any device,\u00a0<\/span><span data-contrast=\"none\">integrated within\u00a0<\/span><span data-contrast=\"none\">communication, coordination and scheduling tools<\/span><span data-contrast=\"none\">,\u00a0<\/span><span data-contrast=\"none\">and\u00a0<\/span><span data-contrast=\"none\">\u00a0free<\/span><span data-contrast=\"none\">\u00a0or work provided<\/span><\/li>\n<li data-leveltext=\"\uf0b7\" data-font=\"Symbol\" data-listid=\"2\" data-aria-posinset=\"2\" data-aria-level=\"1\"><span data-contrast=\"none\">A<\/span><span data-contrast=\"none\">\u00a0sense of<\/span><span data-contrast=\"none\">\u00a0calm<\/span><span data-ccp-props=\"{\"201341983\":0,\"335559739\":160,\"335559740\":259}\">\u00a0<\/span><\/p>\n<p><span data-contrast=\"none\">Even with so many tools at their disposal, employees still<\/span><span data-contrast=\"none\">\u00a0have\u00a0<\/span><span data-contrast=\"none\">unmet expectations.<\/span><span data-contrast=\"none\">\u00a0<\/span><span data-contrast=\"none\">For a new tool to be successful, it must:<\/span><span data-ccp-props=\"{\"201341983\":0,\"335559739\":160,\"335559740\":259}\">\u00a0<\/span><\/p>\n<ul>\n<li data-leveltext=\"\uf0b7\" data-font=\"Symbol\" data-listid=\"3\" data-aria-posinset=\"3\" data-aria-level=\"1\"><span data-contrast=\"none\">Compile all content and\u00a0<\/span><span data-contrast=\"none\">be accessible from any\u00a0device<\/span><\/li>\n<li data-leveltext=\"\uf0b7\" data-font=\"Symbol\" data-listid=\"3\" data-aria-posinset=\"3\" data-aria-level=\"1\"><span data-contrast=\"none\">Provide t<\/span><span And<\/span><span data-contrast=\"none\">\u00a0while some of them expressed an interest in consolidating<\/span><span data-contrast=\"none\">\u00a0to\u00a0<\/span><span data-contrast=\"none\">a single tool<\/span><span data-contrast=\"none\">,<\/span><span data-contrast=\"none\">\u00a0there are<\/span><span data-contrast=\"none\">\u00a0practical reasons<\/span><span data-contrast=\"none\">\u00a0<\/span><span data-contrast=\"none\">for\u00a0<\/span><span data-contrast=\"none\">\u00a0<\/span><span data-contrast=\"none\">people\u00a0<\/span><span data-contrast=\"none\">to\u00a0<\/span><span data-contrast=\"none\">\u00a0use<\/span><span data-contrast=\"none\">\u00a0multiple tools<\/span><span data-contrast=\"none\">.\u00a0<\/span><span data-contrast=\"none\">While users\u00a0<\/span><span data-contrast=\"none\">may shift\u00a0<\/span><span data-contrast=\"none\">more tasks<\/span><span data-contrast=\"none\">\u00a0to consolidated\u00a0<\/span><span data-contrast=\"none\">and collaborative\u00a0<\/span><span data-contrast=\"none\">digital tools<\/span><span data-contrast=\"none\">\u00a0with time<\/span><span data-contrast=\"none\">,<\/span><span data-contrast=\"none\">\u00a0but it is unlikely the\u00a0<\/span><span data-contrast=\"none\">physical\u00a0<\/span><span data-contrast=\"none\">sticky\u00a0<\/span><span data-contrast=\"none\">note will ever fully be replaced.<\/span><span data-contrast=\"none\">\u00a0<\/span><span data-contrast=\"none\">If it is, you can be sure that user research will be at the forefront\u00a0<\/span><span data-contrast=\"none\">of gathering users\u2019 input on what will work for them.<\/span><span data-ccp-props=\"{\"201341983\":0,\"335559739\":160,\"335559740\":259}\">\u00a0<\/span><\/p>\n<p><strong>What do you think?
